Knoxville Rules and Regulations.

JOB DESCRIPTION

Under supervision of the Chief Community Safety and Empowerment Officer, and general administrative direction,
performs complex, responsible, confidential executive duties; responsible for office management and general
administrative duties with the primary emphasis on relieving supervisor(s) of administrative details and supporting the
administrative requirements of the Office of Community Safety and Empowerment. May be solely responsible for
projects, or may serve as a member of a team.
ESSENTIAL FUNCTIONS
Performs a variety of administrative tasks for the supervisor, and other department members as appropriate, including
organizing calendars, screening visitors and telephone calls, making travel arrangements, answering routine questions
and correspondence, accumulating information for reply to requests by correspondence and/or telephone.

Issues payment requests to accounts payable for processing.


Types correspondence, reports, forms, contracts, bulletins, manuals, narratives and other documents and related office
materials which frequently require a familiarity with technical terminology.
Schedules conferences and meetings, coordinates schedules for participants, arranges meeting facilities, ensures all
logistical and technological needs are addressed; when appropriate, takes, transcribes and distributes minutes for
meetings and/or conferences.
Maintains and organizes the office files (including confidential files}; assures proper security measures are followed
concerning confidential files and materials.

Participates in meetings, events and activities on behalf of the Office, as appropriate.

Assists the supervisor(s} in planning and analyzing specific office problems affecting operations.
MARGINAL FUNCTIONS

Issues purchase requisitions for hardware, software, other technical equipment and associated maintenance
Requests quotes from vendors for price comparison for smaller purchases.

Coordinates with the receiving personnel to ensure items are received correctly.
Coordinates or supervises the clerical operations of the office.

Gathers and computes information for the supervisor on special assignments or regular reports and budgets. This may
include working up expected budget expenditures for a particular budget period.

Performs related work as assigned by the Chief Safety and Empowerment Officer or Mayor.

KNOWLEDGE, SKILLS AND ABILITIES


Knowledge of procedures and practices involved in City government.

Knowledge of Microsoft Office products (Word, Excel, PowerPoint, Outlook}


Knowledge of general management theory and practices.

Knowledge of basic research techniques.


Knowledge of modern office practices, procedures, and equipment.
Skill in formulating ideas and presenting them in an effective manner.

Skill in performing arithmetic computations.


Ability to relieve superiors of significant administrative details.
Ability to interpret. develop, and apply a broad understanding of rules, regulations, polices, and procedures.
Ability to evaluate situations and make decisions.

Ability to plan, organize, assign, supervise, and inspect the work of others.
Ability to express ideas clearly, concisely, and convincingly--both orally and in writing.
Ability to produce relevant work under a deadline and to work under pressure.
Ability to establish and maintain effective working relationships with the general public and other employees. Ability to
deal courteously with people.
MINIMUM REQUIREMENTS

Bachelor's Degree from a CHEA accredited college or university.


OR

Associates Degree from a CHEA accredited college or university and two years of progressively responsible
administrative experience.

OR
High School graduation and five years of progressively responsible administrative experience.
