FAQs for Authors

Assistance and Contact

How do I recover my lost password?


 You can retrieve and reset your password through the system.
 Click on ‘Forgot password' on the home page. A ‘Reset Password’ link will be
emailed to your registered email id.
 Click on the link to reset your password on the website.

Can I alter my personal details, including email?


 Yes. You can update your personal details by clicking on the ‘Update Profile' area
on the top right corner once you’ve logged in to your profile.

Do I have to create a new login for each new submission in the same journal?
 No. Once you have registered for a journal, you need not create a separate login
for each submission. You can use the same ‘Author’ account for submissions in
the same journal.

Can I use a single email address for new submissions in other journals?
 You can use the same email address to register in all journals across Medknow
Publications.

How can I contact journal editors or staff?


 If you have a query related to a manuscript, use the ‘Query’ function on the
dashboard.
 If you need any other information, click on ‘Contact Journal Editor’ from the Help
Section.

Registration and Log in

I completed the journal registration form, however, did not receive any
verification email. What are the next steps?
 Go to ‘Sign Up as an Author’ page.
 Click on ‘Resend Verification Link’ to receive a new verification email from the
system.

Can I Log in Using ORCID iD entered during registration?


 Users may not only retrieve their ORCID record but also retrieve name and
contact details from their ORCID record.
 Users who select this option will experience the standard ORCID authorization
interaction, giving the system permission to read information from their profile.
 By doing this, you grant permission for ORCID to push information to the log in
area.

Submission of Manuscripts

I wish to submit a manuscript, what do I need to do for submission and how


do I go about it?

 Prepare your manuscript following the instructions given on the journal website.
 Prepare a file that includes a covering letter, title page, contribution details of
individual authors, acknowledgement, financial support, etc. This file should be
submitted as the ‘First Page’ file.
 Your main manuscript should be in a separate Article File with a maximum file
size of 4 MB. This file should not include any information that can reveal your
identity.
 If possible, figures/images should be in .jpeg format; however, other image
formats are also accepted.
 Keep the figure legends ready to be copied and pasted in the browser.
 Log in as ‘Author’ or ‘Sign Up as an Author’ if you are a first-time user to the
manuscript submission site, and you’ll be directed to the main dashboard.
 From the Author Main Menu, click on ‘Submit New Manuscript’.
 Enter the required data and answer questions as prompted until completion.
 Click on ‘Next’ on each screen to save your work and advance to the next
screen.
 Upload your files by clicking on ‘Choose Files’ and locating the files on your
computer. (Alternatively, you can drag and drop files from an open window.)
 Select the appropriate File Type from dropdown lists and then advance to
the next steps.
 Click on ‘Preview PDF Submission’ to preview final submission in the PDF
version. Click on the tick box to confirm once preview is completed on the
screen.
 After viewing your submission in PDF format, click on ‘Submit’ to submit
your manuscript.
 You may suspend a submission at any phase before clicking on ‘Approve
Submission’ and save to submit later. To resume your submission, click on
‘Incomplete Submissions’ to access the manuscript, and choose ‘Edit
Submission’ from the Action menu.

Which file types are compatible with online submission?


 For article files, please use .doc or .docx files.
 For images, please use .jpeg or .png files.
 For videos, please use .mp4 files.
 Do not include a zip or compressed file.

What are the image requirements for online submission?


 We ask that you submit good quality color images.
 Each image should be less than 10 MB in size.
 The size of an image can be reduced by decreasing the actual height and width
of the images (please maintain at least 400 pixels X 3 inches).
 Though all image formats (.jpeg, .gif, .bmp, .png, .eps, etc.) are accepted, .jpeg
is the most suitable.
 Do not include a zip or compressed file.

Why is the 'First Page' file separate?


 To ensure a double-blind review, no information that can reveal your identity
should be included in the ‘Article File’. The title page, covering letter,
acknowledgement, etc. should be included in the ‘First Page’ file.
 Reviewers will receive only the ‘Article File’

What is meant by ‘key words’ required during article submission?


 Key words are used for automated PubMed searches related to the submitted
articles.
 Please provide 3-4 very specific key words pertinent to your manuscript.

While I was submitting my manuscript online, I lost my Internet connection.


What should I do?
 You will find your manuscript in the ‘Incomplete Submissions’ folder available on
the dashboard of your account. You can continue your submission from where it
was interrupted.

After clicking the ‘Submit’ button I received an error message saying ‘Page
cannot be displayed’. What should I do?
 This is likely caused by slow Internet connectivity.
 To upload files from your PC to our server, a reasonably quick connection is
needed. Remember that smaller files will transfer faster.

How do I ensure that the journal staff has received my manuscript?


 Once a submission is completed successfully, you can track the manuscript from
the ‘Submitted Manuscripts’ area on the dashboard.
 Click on the manuscript id number in this area to reach the ‘Article Cycle’
page.
 The first page, article, and image files can be viewed from this page, if required.

I have submitted a manuscript online; do I need to send a hard copy, images,


or a copyright form?
 No, hard copies are not needed, unless requested by the journal.
 At the time of manuscript submission, complete details with correct email
addresses of all contributors are required. The application will send a digital
copyright form to receive consent from all co-authors and contributors included
in the submitted manuscript.

After submitting a manuscript, I realized I submitted the wrong article file.


How can I change this?
 It will not be possible to change the article or image files post submission.

How does the Electronic Copyright Form work?


 You begin by submitting the manuscript from the ‘Submit New Manuscript’
Area.
 Add all contributors associated with your manuscript in step 3 of ‘Authors
Information’
 After previewing manuscript in Step 4, you will be prompted to view the
copyright agreement.
 Once you’ve read and confirmed the information on the agreement, you
need to type in your name and date in the boxes at the bottom. Once you
click on the ‘Submit’ button, the process will be completed, and you will
automatically receive a copy of the signed agreement via email post
submission of your manuscript to the journal.
 If you are not authorized to sign the Copyright Form, or if a co-author should
sign instead of you, please select ‘I am NOT authorized to sign the
publication agreement’. Fill in the name and email address of the person
who is authorized to sign the agreement.
 Once you submit this information, the person you’ve identified will receive
an email with a link to the electronic Copyright Form from the system. The
authorized person will be able to complete and sign the publication
agreement.

What should I do if I successfully completed the Electronic Copyright Form


and did not receive a confirmation email?
 Please contact Wolters Kluwer|Medknow technical team at
WKHLRPMEDKNOW_techsupport@[Link] to confirm that your
Electronic Copyright Form was submitted correctly.
 If the form was received successfully, the tech support team will be able to
send you a confirmation email along with a PDF receipt for your records.

After submission

 You will receive a confirmation email and copyright agreement after submission.
 You can log-in to Journal on Web at any time to check the status of your
manuscript.
 The journal will notify you by email once a decision has been made.

Review Process and follow-up of Submitted Manuscripts


I have submitted a manuscript. How do I track its progress?

 The ‘Submitted Articles’ area will provide updated information about your
article. You can check the current status of your article and when it is likely to go
onto the next stage.
 The ‘Article Cycle’ page provides more details of how your article is moving
through the review process and how long it is taking at each stage.
 Automated emails from the system will be sent to the contributor when a
decision on the article is made or when the article is sent for proof check.

What is the timeframe for the review process?


 The Editors review all submitted manuscripts within a week of submission.
 Manuscripts with insufficient originality, serious scientific flaws, or absence of
importance of message are rejected.
 Other manuscripts are sent to two or more expert reviewers without revealing
the identity of the contributors to the reviewers.
 Within a period of 10 to 15 weeks, the contributors will be informed about the
decision.

I see that the due date for the current phase has elapsed, but I am yet to
receive feedback. Why is this?

 The ‘Likely exit date’ is set according to the expected date for completion and is
based on the average number of days taken in the phase. Occasionally, our
editors and reviewers may not be able to complete the review process within the
set deadline. However, the final review process will be completed within 12 to 14
weeks.

How do I access the comments of the referee and editor?

 You will receive an email informing you that the review process is complete.
 These comments can be seen by clicking on ‘Comments and files’ from the
folders ‘Manuscripts requiring Technical Modification’ or ‘Manuscripts
Requiring Revisions’ and on the ‘Article Cycle’ pages.

I received a manuscript for technical corrections or revision, how do I


respond?
 DO NOT submit a revised article from the ‘Submit New Manuscript’ page.
 From the ‘Manuscript requiring Technical Modification’ or ‘Manuscripts
requiring Revisions’ area, click on ‘Comments and Files’ to check the remarks
sent to you.
 Click on the ‘Action’ icon to respond to revisions.
 To upload the Revised Article files and images, select the files uploaded during
the first submission and click on ‘Modify’ to update the files or ‘Delete’ to
remove any files.
 To attach/upload the new file, browse for the file on your system and submit it
from the ‘Revised Article File’ section.
 To attach/upload the comments file,
o Download the template from ‘Comments File’ section from ‘Templates’
on the dashboard
o Click on ‘Referee reply comment file’ Download Template
o In the downloaded template, add reviewer’s comments in ‘Original
comments of the reviewer’, add a reply to the reviewer’s comments in
‘Reply by the author(s)’, and add page numbers in ‘Changes done on the
page number and line number’.
o Browse for the file on your system and submit it along with the revised
manuscript.

Can I submit a revised manuscript or proof via email?


 No, unfortunately not.
 Please use the system for all submissions. The system will help streamline the
review process and enable you to track the progress of your manuscript.

My article was accepted for publication, when will it be published?


 A likely date of publication (issue of publication) is assigned to the manuscript
after acceptance.
 Usually, the manuscript will be published in that issue. This date will be visible in
the ‘Accepted Articles’ area.

How will I get articles for proofreading?


 Manuscript will be available in ‘Manuscripts for Proofing’.
How do I respond to articles received for proofreading?
 Manuscripts for proofreading will be sent through the system.
 When a manuscript is in the proof stage, the contributor(s) will be notified. You
can check the details of proofs in the ‘Manuscripts for Proofing’ section.
 Article files can be downloaded from this area and corrected files can re-
attached/re-uploaded from here.

Submitting a revised manuscript

How should I reply to queries raised by editors/referees?


Please reply to the comments of the referees/editors in the following manner to ensure
that the re-review is done quickly. Include the original comments with a reply at the
beginning of the article file.
 There is no data on the follow-up of these patients.
Reply: The follow-up data of patients have been included in the results
section [Page 3, para 2]
 Authors should highlight the relation of complication to duration of diabetes.
Reply: The complications as seen in our study group have been included
in the results section [Page 4, Table]

The ‘Remarks’ section says a file has been uploaded by the journal. How do I
access this file?
 Please check the manuscript text to see which is the latest file in the article file
list. Articles marked as ‘R’ symbolize a revised article (e.g. JOW_191_03R1.doc).
A few technical remarks are to point out some errors, but no efforts are made to
correct every error. Please use this file to make further modifications. [All the
queries are marked in the article itself as ‘Comments’ and are identifiable by
yellow highlight.]
 View the query list by selecting ‘Comments’ from the ‘View’ menu in Word. (If
there are no ‘yellow’ areas in the document, check your settings: from the
‘Tools’ toolbar, select ‘Options’ and then ‘View’ tab. Ensure that ‘Highlight’ is
ticked and the ‘Field Codes’ box is not ticked]

Do I have to change the First Page file or images at the time of revision?
 If there are no changes in the First Page file or images/legends, there is no need
to make changes in these files.

What will be the line of action on receipt of a revised manuscript?


 On receipt of the revised manuscript, the manuscript will be re-reviewed by the
editors and, if required, the referee. A final decision will then be taken. The re-
review process usually takes 3 to 6 weeks.

Does the submission of a revised manuscript mean that my manuscript is


‘acceptable’ or ‘accepted’?
 Submission of a revised manuscript does not guarantee its acceptance by the
journal.

submission to review and proofing.
 Reliable: The system reduces the possibility of errors and missed emails.
 Transparent: The entire review process is visible to the contributors, and all
decisions by the editorial staff are accessible to the entire editorial team.

How secure is my data with this system?

 The site is protected with a 128-bit security system.


 Areas are accessible only with a valid username and password.
 Author’s details are strictly visible only to the editorial staff.

Is there any possibility of losing my records due to some problem at the


server end?

 There is a very remote chance of this happening.


 There are facilities for backup on the server as well as at the journal office.
 Contributors are advised to preserve the article, images, and comments safely.

Which browsers are compatible with this site?

 Most commonly used web browsers are compatible with the system, including
Internet Explorer and Netscape Navigator. (Older web browsers may show a
security alert which can be ignored.)
 Please enable 'Cookies' and 'JavaScript' in your web browser to utilize the
system optimally.

Where do I get more information about the journal?

 Check the journal’s website.
